1. Introduction

 

These Terms & Conditions apply to all winter clothing rentals and related services provided by Winterent (Arcticles Oy). By making a booking or using our services, you confirm that you have read, understood, and accepted these terms.

 

2. Eligibility and Booking Responsibility

 

The person making the booking must be at least 18 years old and is legally responsible for the booking, the rented items, and all associated charges. All information provided at the time of booking, including dates, sizes, delivery details, and contact information, must be accurate.

 

3. Rental Items and Scope of Service

 

Winter clothing is rented as complete sets only. A standard adult or junior set includes a winter jacket, trousers, insulated boots, mittens, and a personal tube scarf. Children’s sets include a winter overall instead of separate jacket and trousers. Individual items are not rented separately unless explicitly agreed in writing.

Delivery and pickup services are optional extras and are sold separately from the clothing rental. One delivery or pickup service always covers the entire booking, regardless of the number of sets.

 

4. Rental Period and Late Returns

 

Rental periods are calculated in full 24-hour periods, starting from the agreed pickup or delivery time and ending at the agreed return or pickup time. Any return after the agreed return time is considered a late return, even if it occurs on the same calendar day.

Late returns incur a fee of €13 per set per started day.

If items are left at an accommodation without purchasing the pickup service, a €50 unplanned pickup fee will be charged, in addition to any applicable late fees.

 

5. Collection, Delivery, and Customer Responsibility

 

Responsibility for the rental items transfers to the customer at the moment of collection or delivery. This applies even if the items are handed to hotel reception or another third party on the customer’s behalf.

The customer remains fully responsible for the items until they are returned to Winterent or collected by Winterent as part of a purchased pickup service.

 

6. Condition, Use, and Care of Clothing

 

All items must be returned in the same condition as received, allowing for normal wear. Customers must not wash the items themselves, as all cleaning is handled by Winterent.

Smoking and the use of strong perfumes while wearing the clothing are strictly prohibited. Strong odors, including smoke, perfume, alcohol, fuel, or food grease, are considered misuse and may result in special cleaning charges.

Applicable charges include repairable damage at €50 per item, special washing at €15 per set, and replacement costs for lost or irreparably damaged items as follows: jacket €150, trousers €150, overall €150, boots €80, mittens €30, and rental bag €5.

 

7. Lost or Stolen Items

 

The customer is fully responsible for lost or stolen items and will be charged the full replacement cost. Winterent does not provide insurance coverage for loss or theft.

 

8. Pricing and Payments

 

All rental prices and service fees are clearly stated at the time of booking. Payment must be completed using the available payment methods before the rental begins.

Delivery and pickup fees are non-refundable once the service has been scheduled.

 

9. Cancellations, Changes, and Refunds

 

Bookings may be cancelled or modified up to 48 hours before the rental start time. After this deadline, the full rental amount will be charged.

All cancellations or changes must be made in writing to rent@winterent.com.

Refunds are only issued if Winterent is unable to deliver the service as agreed or in the event of significant quality issues that prevent use of the clothing. Illness, missed flights, travel delays, or changes to travel plans are not grounds for a refund once the cancellation window has passed. Customers are advised to rely on their travel insurance in such cases.

For bookings made through third-party partners or resellers, refunds and payment handling follow the partner’s policies. Winterent cannot issue refunds for payments it has not received directly.

 

10. Size Information and Fit

 

Customers are responsible for providing accurate size information. While Winterent offers free size exchanges during the rental period (subject to availability), we cannot guarantee a perfect fit if incorrect information is provided at the time of booking.

 

11. Liability and Disclaimers

 

Winterent is not responsible for injuries, accidents, losses, or damages incurred while using the rental items. All items are provided “as is” without guarantees regarding suitability for specific activities or weather conditions. Customers are responsible for using the clothing safely and appropriately.

 

12. Force Majeure

 

Winterent is not liable for delays, service interruptions, or non-performance caused by events beyond reasonable control, including but not limited to extreme weather conditions, road closures, flight disruptions, strikes, or other force majeure events.

 

13. Governing Law and Jurisdiction

 

These Terms & Conditions are governed by Finnish law. Any disputes arising from these terms or the use of Winterent’s services shall be subject to the jurisdiction of Finnish courts.

 

Privacy Notice (GDPR – Regulation (EU) 2016/679)

Winterent (Arcticles Oy, Business ID 3379911-1) processes personal data to manage bookings, deliver and collect rental items, provide customer support, and fulfill contractual obligations. Personal data processed includes customer identification details, size information, booking history, and delivery details.

Personal data may be shared with Winterent partners strictly for order fulfillment purposes. Data is not transferred outside the EU/EEA and is retained only as long as necessary for operational, accounting, and legal purposes.

Customers have the right to access, rectify, restrict, or request erasure of their personal data in accordance with GDPR Articles 15–18
